Manage field workers' unavailabilities in Cadulis

Optimize Scheduling by Considering Absences and Specific Working Hours

For reliable and error-free scheduling, Cadulis allows you to manage:

  • One-off unavailabilities (leave, absences, appointments)
  • Specific working hours (non-working days/hours)

These elements are taken into account by the scheduling assistant and are visible in the schedule to prevent any erroneous assignments.

📆 Add a One-Off Unavailability (Absence, Leave)

  1. Go to the Schedule view via the Activities menu.
  2. Locate the relevant field worker.
  3. Click the padlock symbol next to their name.
  4. Fill in the fields in the pop-up:
    • User and BU (pre-filled)
    • Activity type
    • Start and end date/time
    • Reason for absence in the “Mission” section
  5. Click Validate.

➡️ The unavailability appears in the schedule as a blue block with a purple border. The field worker becomes unassignable during these hours.

🕒 Set Specific Working Hours

  1. From the Team menu, click on the field worker’s name.
  2. Click Edit role, then Edit.
  3. Go to the Specific working hours (restrictions) section.
  4. Click the + button:
    • Define a date/time range
    • Optional: enable lunch break consideration
    • Optional: set as default working hours
  5. Click Validate.

➡️ These ranges appear greyed out in the schedule (not assignable) and are excluded by the scheduling assistant.

👀 Visualization in the Schedule

  • Specific working hours: greyed-out areas (BlackBox)
  • One-off unavailabilities: blue blocks with purple border

These periods are automatically taken into account by the scheduling assistant.

⚙️ Impact on Scheduling

Manual Assignment

  • If you assign a job during an unavailable period:

⚠️ “Scheduling overlaps have been detected!”
    A red warning is displayed.

The assignment remains possible, but is not recommended.

Scheduling Assistant

  • Unavailable periods are automatically excluded
  • Suggested time slots are compatible with actual availabilities

💡 Smooth, reliable, and error-free scheduling thanks to Cadulis AI.

✏️ Edit or Delete an Unavailability

For Specific Working Hours

  1. Team menu > user profile > Edit role
  2. Go to Specific working hours
  3. Click the red trash can to delete, or edit the range.
  4. Click Validate.

For One-Off Absences

  1. Go to the schedule
  2. Click on the relevant blue block
  3. Click Open record
  4. On the absence page, click Edit
  5. Adjust the desired information, then Save

Best Practices

  • Set up specific working hours as soon as you invite a new team member.
  • The scheduling assistant is your best ally to avoid mistakes.
  • The red warning during manual assignment is a caution signal, but it does not block the action.
  • You can customize a warning message in the user profile to inform schedulers of special cases.
